Adding and Starting an Inspection

PIM is flexible when it comes to creating inspections. If you have inspected a property before, you can use a Repeat Inspection to save time. As a PIM Premium user, you can also import property data directly from your existing property management system. But you can always create a new inspection manually — this guide walks you through how.

Creating a New Inspection

Step 1. Tap the Inspections tab at the bottom of the screen.

Step 2. Tap Inspections in the top left corner.

Step 3. To create a new inspection, tap the + symbol in the top left corner.

Step 4. Select the Property Profile that best suits the property you will be inspecting.

Tip: You can customise your property profiles to match your typical layouts in Settings > PIM Admin > Property Profiles.

Step 5. Fill in the required property information. All fields marked with an asterisk * are mandatory.

  1. Address — Type the address and suburb manually, and postcode if needed. The state is auto-filled based on your account settings and can be changed here if required. Note that if you are conducting a Condition Report, you may need to speak with us about region-specific report templates.
  2. Date — PIM defaults to today's date, but you can tap this line to change it.
  3. Type — Defaults to the type assigned in Settings > PIM Admin > Default Settings, but you can change it here to suit the inspection you are performing. A Property Inspection Report is typically used for routine or periodical inspections, while a Property Condition Report is used for more detailed Entry/Exit, Ingoing/Outgoing, or Inspection Sheet inspections.     Tip: If you need to change the Inspection Type, make sure you do it now. Changing it after the inspection has been created may cause issues later.

  4. Inspector — If your name isn't displayed by default, tap this line to select yourself from the list. If your name isn't in the list at all, go to Settings > PIM Admin > Inspectorsto add yourself.

    Tip: If multiple inspectors are set up on the device, the inspector at the top of the list will be the default for new inspections.

  5. Lease Details— Add any relevant details about tenants, owners, or general property information.

    Tip: As a PIM Premium customer, you can bulk import all your property information from your property management system. See our Integration Guides to find out more.

Step 6. Once you have added all the property information, tap Done.

Setting Up Your Inspection Layout

Step 7. You are now in the Inspection Home Screen. Tap Inspection Areas at the bottom to view your property layout.

Step 8. Update the property layout. Because the inspection was created using a default Property Profile, the list of Inspection Areas may not reflect the actual layout of the property. You can change things now so they appear in the same order as you would walk through the property. Use the options in the top right corner to reorder, delete, or add areas.

Edit Options

Once you have tapped Edit, you will see toggle circle icons on the left and triple-line icons on the right for reordering.

To batch delete inspection areas, tap the circle icons for each area you want to remove, then tap Delete at the bottom. You will be prompted to confirm. You can also delete a single area by swiping from right to left across it.

To reorder inspection areas, tap and hold the triple-line icon until it highlights blue, then drag it to a new position. When you have finished, tap Done.

Copying Existing Areas

If you need to quickly duplicate an inspection area along with its existing sub-areas, simply tap and hold the area you wish to duplicate until the Inspection Area Actions window appears.

Select from the three available options:

  • Copy as Empty Inspection Area — Duplicates the inspection area and its sub-areas without any pre-populated notes, additional notes, or quick checks.
  • Copy With Notes and Quick Checks — Duplicates the inspection area and all sub-areas, including pre-populated notes, additional notes, and quick check selections.
  • Delete — Removes this inspection area.

The new area will carry the same name as the original. You can then tap the area name to rename it from the list.
