How do I setup on Mail on my device

When you share a report or photos from PIM by email, PIM uses the Mail app on your iPhone or iPad to send it. If Mail is not set up, the email option will not appear or the message will get stuck in your Outbox. This guide covers how to add your email account and fix the most common sending issue.

Adding your email account to iPad or iPhone

Follow these steps to add your office email to the built-in Mail app. If your office uses Microsoft 365 or Google Workspace, choose those options in step 3 for automatic setup.

1Open the Settings app on your iPhone or iPad.
2Scroll down and tap Apps, then tap Mail › Mail Accounts › Add Account.
3Choose your email provider:
  • Microsoft Exchange / Outlook / Microsoft 365 — tap Microsoft Exchange
  • Google / Gmail / Google Workspace — tap Google
  • Other providers — tap Other and enter your server details manually
4Enter your email address and password, then tap Next. For Microsoft and Google accounts, you will be taken to a sign-in page in your browser — sign in there and grant access when prompted.
5Make sure Mail is switched on, then tap Save. Your account is now ready — the email option will appear when you share a report or photos from PIM.

Email stuck in Outbox

Sometimes an email gets stuck in the Outbox rather than sending — usually when the device briefly loses signal while trying to send. To clear it:

1Open the Mail app and tap Outbox (visible in your folder list when a message is stuck).
2Tap the stuck message to open it.
3Tap the Subject line as if you were going to edit it.
4Tap the Send button (the arrow icon, top right). The message should now send, provided your email account and password are correctly configured.

Note: If the email keeps getting stuck, your email password may have changed recently. Go to Settings › Apps › Mail › Mail Accounts, tap your account, and re-enter your password if prompted.
