Editing Inspections

Once you've opened an inspection in the PIM Cloud Dashboard, a whole toolkit opens up to you. From here you can update your inspection, view, share and submit reports and media, and plenty more — including the ability to annotate your photos right from your desktop.


This guide walks you through editing notes, adding and removing images, and shaping the structure of your inspection areas. At a glance, here's what each tab does for you:


1. Overview — Update your Property, Inspection, Tenant and Other details all in one place. A quick word of caution: changing Property Details like the Address or State can affect other inspections in your dashboard, so it's worth pausing before editing those particular fields.


2. Areas — The heart of your inspection. Edit the notes and media within your areas and sub-areas, and use Manage mode to reorder, group and fine-tune their structure.


3. Submit Reports — Submit your finished report straight from the Dashboard, choose your template, and preview it in your browser before it goes out.


4. ActionsSend Aided Inspections for your routine inspections, and open your Media Gallery to browse every photo and video in one place.



1.  Overview


A: Property & Inspection Details

Most of these fields are self-explanatory. To update any of them, simply tap Edit and make your changes in the tables below.



Property Details — Update the Owner's Name, Phone and Email address. Please take a little extra care with the Address or State fields, as changes here can ripple through to other inspections in your dashboard and on your device.


Inspection Details — Adjust the inspection date and time, reassign it to another user, change its status, or archive it when it's no longer active.


Tenancy Details — Keep your tenancy information current, including Tenancy Name, Rent, Rent Type, Tenant Contact, Tenant Email, and Lease Start and Expiry dates.


Other Details — Capture the finer points such as Key Number, Water Meter Reading and Property Info.


Whenever you've finished, just tap Save to lock in your changes.


B:  Coverpage Photo:  

A great cover photo sets the tone for the whole report — it's the very first thing your owner or tenant sees, and a strong image lends a polished, professional feel. We've made choosing one beautifully simple.

If no cover photo has been set yet, you'll see a No Cover Photo Available placeholder with a Select Cover Photo button beneath it. Here's how to add one:

  1. Tap Select Cover Photo.
  2. A picker will open, showing thumbnails of all the photos from your inspection, neatly grouped by inspection area so they're easy to find.
  3. Tap the photo you'd like to use — it'll be highlighted to show it's selected.
  4. Tap Select in the top corner to set it as your cover photo.

That's all there is to it — your chosen image will appear as the cover photo on your report straight away. Changed your mind? Just tap Select Cover Photo again to pick a different one, or tap Cancel to close the picker without making any changes.


C:  Documents:  

Here you'll find every report available for this inspection, ready to download as Media, PDF or Word files straight to your desktop.

D:  Activity:  

A handy running history of your submitted inspections — see at a glance who sent each one, and when it was last edited.



2.  Editing Areas


We've made editing simpler and more intuitive. Edit and Save are now unified across an inspection area and all of its sub-areas, so you can move freely between them and save everything together in a single step — no more saving each one individually.

Here's how it works:

  1. Tap the Areas tab.
  2. Choose the inspection area you'd like to work on.
  3. Tap Edit at the top. You're now free to update your inspection notes, add or refine additional notes, adjust your Quick Check labels, and add or remove photos — right across the area and all of its sub-areas. You can even drag and drop photos straight in.
  4. When everything looks right, tap Save once, and all your changes across the area and its sub-areas are saved together.

You'll always know when you're in edit mode: the background shifts from grey to a warm orange, a clear visual cue that your changes are live and ready to save.

? Good to know: Because Edit and Save now work as a pair across the whole area, there's no need to save each sub-area on its own. One tap of Save captures it all.


Just a note — videos can't be added from the Dashboard just yet, but you can add them easily using the PIM Cloud app.




Easier Area Management

Sometimes it's not the content you want to change, but the structure of your inspection. The new Manage buttons make this simple, letting you reorder, add, and delete Inspection Areas and Sub-Inspection Areas with ease. Reordering is now a clear, intuitive drag-and-drop experience, giving you full control over how your inspection is organised — so your report can follow the very order you'd walk the property.

Working with your photos and media

Tap any photo or video linked to an Area or Sub-Inspection Area to open a quick menu of options — Annotate, Edit, Share or Download — shown as the white icons in the toolbar.


Share and Download do exactly what you'd expect, letting you send or save your media in moments. To adjust a photo's notes or settings, tap the Edit (Pen) icon to open its properties. From there you can add notes, mark the image to Include In Maintenance, and — if you'd like — set it as your Cover Photo right then and there, without leaving the photo. Just tap Save to keep your changes.

? Two ways to set a cover photo: You can choose one straight from a photo's Edit properties as above, or pick one anytime from the Select Cover Photo button in the Overview tab (see Cover Page Photo above). Whichever suits the moment — the result's the same.



Here you can add notes, opt to set it as a Cover Photo or Include In Maintenance. Simply tap 'Save' to preserve any changes.


One of our favourite features is the ability to annotate your photos, just as you can in the PIM app. Highlight exactly what matters using symbols, lines, arrows and text — ideal for flagging maintenance items or drawing the eye to areas that need a closer look. You can even rotate a photo that was taken upside down. Just tap the Annotate icon to begin.

What you can do when annotating:

  • Undo / Redo — Step back or forward freely as you work.
  • Trash Can — Clear all annotations from the photo in one go.
  • Rotate — Turn the photo 90 degrees at a time.
  • Colour Palette — Pick a colour that makes your notes and shapes stand out.
  • Line Width — Fine-tune the thickness of your lines and shapes.
  • Tool Selection — Choose your tool: arrows, text, lines, rectangles, freehand pen, or the Selection tool for adjusting individual objects.
  • Save — Always tap Save to keep your annotated image before you leave the screen.


Together, these tools make it easy to tell the full story of a property and give your reports real clarity. Once your media is just right, you can Submit your inspection from the Dashboard to generate a report that reflects all your latest changes.


3.  Submit Reports


When you're ready to share your inspection with the owner or tenant — or simply want to finalise it — tap the Submit Reports icon.


From here you can choose the template that best suits the report, personalise the email's subject and message, and preview the finished report before it's sent. Just select your template, and you're good to go.





4.  Actions


The Actions button is home to two helpful tools.



A: Send Aided Inspections for your routine inspections — our Aided Inspections guide walks you through it.

B: Open the Media Gallery to view every photo and video from an inspection as a slideshow. You can download individual high-resolution images or videos and even see where each one was captured. For a real-world example, take a look at a sample report and media gallery in our Report Gallery.
