Maintenance Requests

Re-Leased users can now create "On The Go" Maintenance with Maintenance Requests from PIM!

Creating a new Maintenance Request can now be done directly from PIM, together with a photo from the inspection area, and uploaded into the Re-Leased Maintenance Hub!

In PIM, for inspections where you need to create a Maintenance Request, you can select a photo and then raise a new Maintenance Request against it, complete some details, and then upload it to Re-Leased for further action. Submitting Maintenance Requests is only available for those inspections that have been imported from Re-Leased and does require a network connection.

If you have not yet set up the integration between PIM and Re-Leased on your device, refer to our Re-Leased Integration Guide.

Creating Maintenance Requests using PIM

The first step in raising a new Maintenance Request from PIM is to choose how you'd like to start:

  • From a specific photo within an Inspection Area or Sub-Inspection Area, or
  • At the property level, directly from the Inspection Overview screen.

Both methods open the same Maintenance Request screen (see Step 2 below), where you add the details and submit through to Re-Leased.

Step 1 (Option A) Create and Send a Maintenance Request from a Photo (Inspection Area or Sub-Inspection Area)

From the list of available photos for an Inspection Area or Sub-Inspection Area tap and hold the photo you wish to include as part of the Maintenance Request then select Send Maintenance Request to Re-Leased

If you have multiple images you need to include in your Maintenance Request you can do that by tapping Edit (in the top right-hand corner) then select the images and then tap the "..." > Send Maintenance Request to Re-Leased.

Step 1 (Option B) At the Property Level (Inspection Overview Screen)

You can now raise a Maintenance Request for the property as a whole, without needing to start from a specific photo or inspection area. This is handy when the maintenance item relates to the property more generally, or when you simply want to log a request quickly while reviewing the inspection.

From the Inspection Overview screen, tap the Action button and select Send Maintenance Request to Re-Leased, then continue to fill in the details as described in Step 2 below.

Step 2:  Completing Maintenance Request in PIM

This presents the Maintenance Request screen where you can fill in more details:

  • Title — Defaults to the Inspection Area where the image was taken. Edit as required.
  • Description — Enter notes detailing more information about the maintenance needing to be done.
  • Due Date — Defaults to tomorrow's date, however, change as needed.
  • Maintenance Type — Select the type of maintenance required, such as Electrical, Painting, or Gardening.
  • PM Email — Defaults to the email address of the property manager assigned to the inspection in Re-Leased, but can be updated if needed.
  • Notify PM — Turn this on to automatically send the property manager an email notification as soon as the maintenance request is raised.
  • Property Global Id and Tenancy Id — These match up to the corresponding IDs used in Re-Leased.

Anything marked with an asterisk * is required before tapping Done.

Viewing your Maintenance Request in Re-Leased

After you have sent the Maintenance Request from PIM, log into your Re-Leased account and navigate to the Maintenance Hub then Then tap your new Maintenance Request.

Once opened tap on the Maintenance Details tab and you can see your Title, Description, Due Date, and Attachment (Image)
* Maintenance Type defaults to Electrical, further options will be available in a later release of PIM.
