If you’re setting up a new device or need to access inspections completed by a colleague, you can sync them to your device from the PIM Cloud Dashboard.
To view any new or updated inspections linked to your account, simply sync your device with the dashboard to retrieve the latest data.
If you tap an existing inspection in your list, PIM will automatically check for updates from the dashboard and overwrite the local version on your device. This is a quick process and doesn’t require using the sync screen.
Important:
If you don’t want to overwrite the current version on your device, avoid tapping the inspection directly. Instead, tap the Cloud icon and choose how you’d like to import the updated version.
Accessing Inspections from Another Device or User
Step 1: Tap the Inspections icon in the PIM App
Step 2: Swipe your finger or tap the Cloud icon to view your inspections available to sync.
Once the inspections have finished loading, you’ll see a list of available inspections. By default, the screen displays New Inspections from the past 3 months.
1. Filter your Inspections:
Use the filter screen to refine your inspection list by combining options like date range, partial address search, and quick filter checkboxes. Start broad and narrow down to find what you need faster. Once you’ve adjusted your filters, tap Done (6) to apply the changes.
1. Date Range - Date From and To fields let you specify a time period for your search:
- Tap either date field to open the date picker
- Set your desired start date (Date From) and end date (To)
2. Inspection Status - Select from multiple status options to filter inspections by their current state:
- Tap "Multi Selected" to choose from available status options such as In Progress, Completed etc
- You can select one or multiple statuses depending on your needs
3. Inspection Type - Filter by the type of inspection you want to view:
- Tap "Routine Inspection Report" to see other available inspection types such as Condition or Bond Report
- Choose the specific type that matches what you're looking for
4. Address Search - Address field supports flexible searching:
- Enter a full or partial address
- Use wildcard searching with the asterisk (*) symbol, e.g. "123 Main*" will find all addresses starting with "123 Main"
- Leave blank to include all addresses
5. Quick Filter Options - Three convenient checkboxes at the bottom help you focus on specific inspection categories:
- New Inspections Only✓ (currently selected) - Shows only inspections that haven't been viewed before. More info below.
- Updated Inspections Only - Displays inspections that have been modified since you last viewed them. More info below.
- My Inspections Only - Limits results to inspections assigned specifically to you
New Inspections:
These inspections are stored in your PIM Cloud Dashboard but are not yet available on the device you’re syncing with. By syncing them to your device, you’ll import all associated notes, photos, and property and inspection details—just like in the example below.
Address: 500 West Coast Hwy, Scarborough
Inspection Date: Thursday 3rd August 2023 @ the time: 19.43
Report Type: Condition Report
Inspector: Nicola Training
Status of the Inspection: Inspected
Updated Inspections:
Updated Inspections are inspections that are currently on your device but have been modified since they were last saved or submitted from the device. This typically suggests that changes or updates to the inspection have been made through the dashboard on a PC, and you now wish to synchronise the most recent version of that inspection to your device.
2. Sort: Allow you to sort your inspections by Date, Address or Suburb:
3. Importing Available Inspections: To sync inspections to your device, tap the inspection(s) you want to import, then tap the download icon (box with a downward arrow). Select Import Selected Inspection(s).
If an inspection for the same address already exists on your device, you’ll be prompted to either:
Update Inspection – replaces the existing version
Merge Inspection – combines new data with the existing version
Inspections that already exist on your device will show an orange bar as a visual indicator and these must be imported one at a time.
Tap Confirm Update Inspection
Update vs. Merge Options
Update Inspection: Replaces the existing inspection on your device with the latest version from the Dashboard, including any new notes, photos, and updated property details.
Merge Inspection: Keeps your existing notes and adds new notes alongside them. Quick Checks will only update if they haven’t already been marked—existing Quick Check values are not overwritten during a merge.
Tap Confirm Merge Inspection
Once completed tap Cancel and then navigate to your inspection in the Inspection list.
A merged inspection will MERGE ALL Notes, it does not over-write any existing notes it will just add the amended notes in addition to the existing notes. Only new Quick Checks will be merged not amended ones.
In this example:
An inspection was submitted from a device to the Dashboard and the Notes were amended from Painted Green to Painted Grey, saved and then MERGED back to the device.

Handy Hints on Syncing Inspections:
You can refresh the Available Inspections or Updated Inspections list at any time by swiping down on the screen.
No PDF or Word documents are pulled down to the device.
Additionally, tapping on any inspection in the Inspections tab will pull the latest data from the PIM Cloud and update the selected inspection accordingly.
