Using PIM With Console Cloud


Thanks to our integration with Console Cloud, you can import confirmed inspections directly into PIM, complete with relevant property information and owner and tenant details.  


Once you have completed your inspections in PIM, the reports are automatically pushed into Console Cloud ready for you to complete your follow up activities.


This integration is only available to PIM Premium customers, so please contact our support team to upgrade your plan and further instructions on how to activate Console Cloud.

First Time Set Up - Console Cloud


So we can integrate your Console Cloud account with your PIM account we need you to copy and paste your access API Access Key into an email for us at support@propertyinspectionmanager.com.  The PIM Support Team will complete the setup and let you know when you can proceed to the next step.  To find your API Access Key you need to follow the steps below:


1.  Copy and Paste Access Key to PIM Support

In Console Cloud navigate to Marketplace (1) > click on PIM logo (2)



click ADD TO CONSOLE CLOUD (3)


tap on "New client or Existing client" (4)


New clients will be shown a link to our website where you can create a PIM Premium account as well as your Access Key.  If you already have a PIM Premium account tap "Existing client".


tap Copy to clipboard (5)


This will copy the Access Key text, where you need to open an email and paste it into, together with your Company Name, and PIM Account Email if you know it, and send it into support@propertyinspectionmanager.com.


You can tap Next to go back to Marketplace screen or continue using Console Cloud. 

Await further instructions from PIM Support for the next step.




First Time Set Up - PIM


The ability to import from Console Cloud relies on information in PIM Settings so it is important to know how yours is set up.  You only have to do this once. 


1.  Enable Console Cloud Integration

Navigate to PIM Settings > Advanced, Integrations About the App > Enable Console Cloud and tap to toggle on.



2.  Import Scheduled Inspections 7 days /14 Days
 You can select if you would like to import scheduled inspections for 7 days in advance or 14 days.
 
3Turn on Quick Check Labels (optional)
Another time-saving feature is to have the quick check labels always ticked by default.  To set this default go to Settings > PIM Admin Routine or PCR inspections and toggle the 'Quick Check Always Ticked' to On position.

Prepare For A Successful Import


A few extra tweaks in PIM Settings to ensure exact matches with Console Cloud fields will ensure a more successful import.


1. Set Up Smart Property Profiles
Smart Property Profiles are a way to quickly set up inspections for the most common property types of your portfolio, such as a five-bedroom, three-bathroom house. 

Your existing Console Cloud commonly Property Types can be matched to PIM Smart Property Profiles to allow for a seamless import. This will save a lot of time adding or removing rooms during the inspection.

You can add or edit yours in PIM Settings > PIM Admin > Smart Property Profiles. Check the table mapping at the bottom of this guide to ensure your Smart Property Profiles have been setup correctly in PIM.

2. Confirm Inspectors
Inspections can only be imported against the Console Cloud Manager if there is a corresponding Inspector name in PIM Settings > PIM Admin > Inspectors

If an exact match is not located, PIM will use the Default Inspector instead.

3. Assign a Default Inspection Type

During the import, PIM will use the Inspection Type assigned to an inspection in Console Cloud (ie Routine, Entry or Exit).  You can assign in PIM the default inspection type via PIM Settings > PIM Admin > Default settings > Inspection Type.

4. Other Fields that can be populated into PIM
In Console Cloud, you can also populate the Key Number, Access Details and Additional Information into fields available in PIM.



Property Access fields can be found by navigating to the Property > click on Access (1) > Edit Access Info (2)
then enter in your Key Number (3) and any Access Details (4) and hit Save.

To enter Additional Information navigate to the inspection against that property > tap Edit > enter your notes into Additional Information.




Import Data Into PIM


PIM imports real-time data from Console Cloud using the import process below.


1. Navigate to the Import tab.
This is at the bottom of the app.


2. Import the latest file from Console Cloud
Pulling down on the screen will refresh the data files.  Once it appears, tap to open. 

 
3. View imported inspections.
Your properties will be listed with a colour code on the left.  
Green indicates a property PIM has not seen before, so it will be treated as a new inspection.
Orange represents an existing property so a Repeat Inspection will be created. 

 

4. Filter and Sort if required.
If there are a large number of properties in the imported list, you can use the Filter (1) or Sort (2) options to make things easier to view.



5. Import the inspections.
When you are ready to complete the import, select the Action button (1) then choose one of the Import options (2).  
  Note: if you only want to import some, press cancel then tap against the properties you want.  This will place a check on the right.  You can then choose the Import Selected option instead of Import All.

6. Confirm the import type.
The import will create inspections based on your default Property Profile and Inspection Types displayed in the message.  If you are happy with this, tap Continue.
7. Close the PIM File Import message.
Take note of the confirmation message then tap OK to close.





Complete The Inspection


After importing, your scheduled inspections will be available under the Inspections Tab.


Go ahead and complete the inspection in the usual way by adding notes and photos then Submit Inspection when done. Submitting the inspection will upload a copy of the report into Console Cloudand the Inspection status will be updated to Complete in Console Cloud.


You will find the inspection report in Console Cloud under the Workflows (1) within Inspections (2) and scroll down to Reports (3)


Note: Once the report has uploaded, the Inspection status will update to Inspected, and you will no longer be able to see the inspection from your PIM Import screen.



Resend Inspection to Console Cloud


If for some reason you only previewed the inspection rather than Submit, or need to re-send to Console Cloud, this can easily be done from the home screen of the inspection.


1.  Tap the Reports Folder from the inspection.


2Select Send to Console Cloud from Options.
From Options (1) on the right tap Send to Console Cloud (2) 

  

    


Troubleshooting


For general troubleshooting on Console Cloud workflows, imports and uploads, refer to the Console Cloud guide or contact Console Cloud Support. (Note: you must be logged in to your Console Cloud account to access these links.)

Here are some common concerns and speed humps around Console Cloud integrations and how to move past them.


1. Submitted Inspections not uploading to Console Cloud
Only inspections synced from Console Cloud can be uploaded automatically into Console Cloud. This includes Routine and Property Condition Reports.

2. Submitting multiple inspections for the same address
Once you submit your Inspection, the status will update to "Inspected" in Console Cloud, this will prevent any further submitted reports sent from PIM uploading for the same inspection.


If you wish to replace this inspection, just delete it from Console and then Submit it again from PIM. Note: The "Delete" option is not available for Property Condition Reports.
